Basic concepts on the PPPL system

PPP (Plant protection product) is any product that can be used in the fields or store to protect the plants or the harvested product. PPP include pesticides, insecticides, fungicides, herbicides, post-harvest product, home-made product, biological agents, etc.

PPPL (Plant protection product list) is the list of PPP that the producer intends to use on the crop.

  • The PPPL is crop and country specific. To create a PPPL the country of production and crop must be specified.
  • The PPPL does NOT need to include all the approved trade names for the applicable crops. It should include those trade names or active ingredients the producer intends to use. The PPPL can be updated or changed at any time.
  • The approved PPPL will be valid until the start of the new season (maximum validity of one year)

How to create a PPPL:

  1. Create a new PPPL list. Define the PPPL scope.
  2. Add a PPP to the list. Repeat the process to add as many PPPs as needed.
  3. Once completed submit the PPPL for revision
  4. Make payment
  5. Food Experts will undertake a technical revision of the PPPL. If there are queries the PPPL owner will be contacted.
  6. Once clarified queries the PPPL is approved

Create a new PPPL

Create a new list

  1. Go to the PPPL main menu and click the “Add new PPPL” button.
  2. Complete the PPPL header:
    • Crop: Chose one main crop
    • Associated crops: the system automatically checks if the main crop has associated crops that can be included in the same PPPL. If there are associated crops available for the main crop the field “Associated crop” will be activated. If this field is not activated it means it is not possible to add other crops to the PPPL.
    • Harvest (start/end): indicate the start and end of the harvest for the main crop
    • Country: Select the country of production
    • Applicable to: Include here any customer you want to give access to this PPPL. Customers can be added or deleted at any time
  3. Click next and the PPPL will be created.

Add PPPs to the list

  1. Click the “Add PPP” button. The Add PPP screen opens.
  2. Search for a PPP trade name or active ingredient in the “Create a new PPP” box.
    • If you search by active ingredient the search will display all trade names that contain the active ingredient
    • Once you select the trade name the field below will be autocompleted.
    • If the trade name is not found it means that it is not included in our database of PPPs officially approved (for any crop) in the country the PPPL is valid for.
  3. Fill out the missing data for this PPP.
  4. Click “Next”. The system will do some automatic verification.
  5. Check the notes and rectify data if appropriate.
  6. Save the PPP to the list.
    • “Save and exit” will save the PPP and take you to the list
    • “Save and create new PPP” will save the PPP to the list and go back to the Add PPP screen.
  7. Repeat the process to add as many PPPs as needed.

Submit the PPPL

  1. Once the PPPL is completed and all the PPPs are included click the “Check PPPL” button.
  2. The system will do some automatic verification. Check the notes and rectify data if appropriate.
  3. Click the “Check PPPL” button and confirm.
  4. What happens after submitting the PPPL:
    • The PPPL is sent to Food Experts technical revision
    • The PPPL owner is sent a confirmation e-mail.
    • Companies indicated in the “Applicable to” field in the PPPL header will be sent a copy of the confirmation e-mail.
    • The PPPL status is update to “Submitted-FEXP”.

Technical review. PPPL approval

Food Experts will undertake a technical review of the PPPL:

  1. If the PPPL is approved:
    • The PPPL owner receives an approval confirmation e-mail.
    • Companies indicated in the “Applicable to” field in the PPPL header will be sent a copy of the confirmation e-mail.
    • The PPPL status is changed to “Approved”.
  2. If Food Expert required changes or clarifications the PPPL is sent back to the PPPL owner:
    • The PPPL owner receives a notification by e-mail to review the PPPL
    • The PPPL status is changed to “Submitted-Supplier”
    • The PPPL owner shall log-in and clarify the Food Experts revision notes. Once clarified re-submit the PPPL

Modify an existing PPPL

An existing PPPL can only be modified by the PPPL owner (the company that has created the PPPL).

To modify an existing PPPL go to PPPL in the main menu. Select the PPPL to be modified and click the pencil icon on the right. The PPPL opens.

Change who has access to the PPPL

  1. Open the PPPL.
  2. Click the pencil icon in the header.
  3. Add or delete customers
  4. Save changes.
  5. There is no need to submit the PPPL. Simply close it.

Add or remove PPPs

If new PPP are added submit the PPPL again and Food Experts will review the changes.

Cancel an existing PPPL

Open the PPPL and click the x in the upper right hand side corner.

To re-activate a cancelled PPPL:

  1. Go to PPPL in the main menu
  2. Open the search box
  3. Tick the “Show cancelled PPPLs” and click the search button
  4. Open the selected PPPL
  5. Modify the PPPL as needed
  6. Re-submit the PPPL

Suppliers. See suppliers PPPLs

The system allows the PPPL owner to share on-line the PPPL with one or multiple customers. To ask one or multiple suppliers to share the PPPL with you:

  1. Go to PPPL in the main menu
  2. Click the “Add new supplier” button. The request screen opens.
  3. Select the suppliers and specify the crops you want to have access to:
    • For new suppliers indicate the contact e-mail.
    • Customize the message if needed.
    • Use + to add more suppliers
  4. The suppliers will receive an e-mail with your message. A copy of the e-mail is sent to the person sending the request.
  5. Supplier follows the e-mail instructions to log-in and share the PPPL. The PPPL owner can decide to give access to an existing PPPL or to create a new one and give the customer access to the new PPPL.
  6. The server will send weekly reminder e-mails to the ignored requests (to a maximum of 4 reminders).

Customers. Share PPPLs with customers

The PPPL owner can give access to the PPPL to one or multiple customers:

  • Only the PPPL owner can give access to the PPPL
  • The permission is per PPPL and customer
  • The customer will see the PPPL online. Any modifications made to the PPPL can be seen by the customer.
  • The access can be cancelled at any time.
  • Note on cancellation: Sharing a PPPL online is similar to sending the PPPL by e-mail. Once you have sent the information the information and cannot be recalled. The PPPL owner can decide to cancel the access to a PPPL and in such a case the customer will not receive any new updates, but the information sent will remain with the customer.

To give access to a PPPL:

  1. Open the selected PPPL
  2. Edit the header (click the pencil icon in the header)
  3. Add the customers to the “Applicable to” box.
  4. If the customer is registered with Food Experts it will not be found in the “Applicable to” box. In this case the “New customer” button can be used to send an invitation e-mail.

To cancel the access to a PPPL:

  1. Open the selected PPPL and delete the customer from the “Applicable to” box.
  2. The deleted customer will no longer have access to PPPL updates, but they will have access to the PPPL as it was at the time of cancellation.

Analysis results

All analyses managed through the Food Experts site will be checked against the applicable PPPL.

The country of production, supplier, crop and customer shall be the same in the analysis and the PPPL for the comparison to be made.

If residues are detected that are not included in the PPPL a warning sign will be shown in the analysis report.


Prices

Price: 75 Euros per PPPL and year.

This price includes:

  1. Initial approval. The PPPL is technically reviewed by Food Experts the first time it is submitted and thereafter on a yearly basis before the start of the season.
    • The price includes these technical revisions and interactions with the PPPL owner until the PPPL is approved.
    • There is no limit to number of PPP that can be included in a PPPL (within reasonable use)
  2. Unlimited updates. The PPPL can be updated at any time. Any new PPP added to the list will be technically reviewed by Food Experts. All updates within the validity of the PPPL are included in the price.
  3. The use of the PPPL facilities provided by the Food Experts site (downloading data, exporting the PPPL, sharing the PPPL, etc.). There are no additional charges to share or send the approved PPPL to one or multiple customers.

This price does not include VAT (Added value tax), that will be added to the invoice if applicable.


Payment

By submitting the PPPL for revision the PPPL owner is committing to pay the applicable prices.

An invoice will be raised and sent to the PPPL owner by post or e-mail. Invoice shall be paid within 30 days.


FAQs

Who is the PPPL owner?

The PPPL owner is the company who creates the PPPL. Only the PPPL owner can modify or cancel the PPPL.

The companies/customers that have been given access to the PPPL by the PPPL owner cannot modify the PPPL.

Can I include multiple crops in a single PPPL?

The PPPL is crop specific, since in most cases the PPP approval is per crop and the MRL are also crop specific. Nevertheless there are a number of situations where several crops closely related can be included in the same PPPL. This is the case for peach and nectarine or several herbs for example.

When you create the PPPL the system automatically checks if the main crop has associated crops that can be included in the same PPPL. If there are associated crops available for this main crop the field “Associated crop” will be activated. If this field is not activated it means it is not possible to add other crops to the PPPL.

Can I change the crop in an existing PPPL?

The main crop in the PPPL cannot be changed once the PPPL is created. What is possible is to change the associated crops (if available). For more information see FAQ on multiple crops and Create a new PPPL in the help menu.

I need two different PPPLs for the same crop

You can create as many PPPLs as needed for the same crop as long as the customers in each PPPL are different. This way you can have a PPPL for one customer/market and another one for another customer/market.

We recommend producers to minimise the number of PPPLs as much as possible. It is cheaper and also easier to manage.

If you are going to create a new PPPL perhaps you want to use the Copy option to create a copy of an existing PPPL and start modifications from there. To use this option open the PPPL you want to copy and click the “Copy” button.

Multiple trade names with similar compositions

In many countries the PPP approval system is per trade name. This means that two different trade names with identical composition can have a different approval status for the same crop (i.e. one trade name can be legally used on the crop and the other one cannot be used). It is often frequent to find different conditions of use for the different trade names. Thus each trade name needs to be checked individually.

Each trade name needs to be added to the PPPL as a new line.

I cannot find a trade name/active ingredient in the add PPP screen

The “Create a new PPP” box (Create PPP screen, “Search PPP or Active Ingredient to pre-load data” area) search is restricted to the PPPs registered (approved for any crop) in the country the PPPL is valid for.

If you cannot find a trade name it means that the trade name is not officially approved in that country for any crop (or there is a spelling mistake).

If you cannot find an active ingredient it means that there are no trade names approved (in that country for any crop) which contain the active ingredient.

Note: Searches on the “Active ingredient” box are not restricted to approved trade names, thus you can find active ingredient that are not approved to be used. This shall be taken into consideration when using the manual option to fill in the data.

How to know which customers I have shared my PPPL with?

To know who has your permission to see your PPPL, simply open the selected PPPL and check the header. Companies indicated in the “Applicable to” field are having access to your PPPL. You can change this (adding or removing customers) at any time. More details here.

Concerns regarding confidentiality of my trading relationships (customers/suppliers)

At Food Experts we take very seriously the confidentiality of the data and the trading relationships is certainly confidential information. The system is designed to protect the confidentiality of your trading relationships.

For example, when you share a PPPL with several customers through the site, even if you see in the PPPL header the names of all the customers you have granted access to your PPPL, each customer will only see his own name and will not see any other of your customers.
